Automated payment reminders are messages that go out on a schedule before and after a payment is due, without you sending each one by hand. The two decisions that matter most are which channel to use and how to handle payments that repeat every week or month.
Which channel should you use?
| Channel | Works best for | Things to know |
|---|---|---|
| Reminders that need detail: invoice reference, amount, payment link | Easy to archive and forward to an accounts team. Can be missed in a busy inbox. | |
| SMS | Short, time-sensitive nudges on or after the due date | Very short format; usually costs per message; needs a phone number the customer gave you for this purpose. |
| Customers who already talk to you on WhatsApp | Business messages usually need an approved template and the customer's opt-in. |
A practical pattern is email for the before-due and due-date steps, and a short text only if an invoice is still open after that.
How RemindCash handles channels today
- Email reminders are included in Basic and Pro within the plan's monthly email volume. They show your business name and come from a verified address.
- SMS and WhatsApp use prepaid credits, separate from your plan. They are being rolled out and are enabled per country once each channel has been verified, so they may not be available for your country yet. Credits are reserved before a message is submitted and released if the provider does not bill it; the balance never goes negative and there are no overage charges.
Recurring payments without recurring admin
Many businesses are paid the same amount every week or month: retainers, memberships, maintenance plans, lessons or rent-like arrangements. In RemindCash you set up a recurring receivable once:
- each week or month becomes its own occurrence with its own due date, amount and reminder plan,
- paying this month never affects next month, and a paid occurrence is never reminded again,
- when something changes, you choose whether the change applies to one occurrence or to all future ones,
- monthly dates that don't exist in shorter months follow a consistent end-of-month rule.
Example: a tutoring business with monthly fees
A tutor bills 30 families on the first of each month. Instead of creating 30 invoices and remembering who has paid, she sets up one recurring receivable per family. Each month, families receive a friendly reminder three days before the due date; those who have already paid are skipped because their occurrence is marked paid. She sees at a glance which families are still open.
Write reminders people answer
Short, specific messages work best on every channel: say who is writing, include the amount, due date and reference, and give one clear action — usually a payment link. See the SMS and WhatsApp examples and the email templates.
Respectful by design
Reminders go out only within your allowed hours in the right time zone, with weekends off by default. Opted-out, disputed or paused customers are not messaged, and RemindCash is for reminders about real amounts owed — not for marketing or bulk messaging. You remain responsible for having a legitimate reason to contact each customer and for following the messaging rules in your country.
Questions and answers
Are SMS and WhatsApp included in my plan?
No. They use prepaid credits that are separate from Basic and Pro, and they become available per country once verified. Email reminders are included within your plan's limits. See pricing.
Will a customer get the same reminder twice on different channels?
Each reminder step is sent on the channel chosen for that step, so the same message isn't duplicated across channels by accident.
Do reminders stop when someone pays?
Yes. As soon as the payment is recorded and nothing remains, future reminders for that receivable stop.
