Invoice reminder software keeps a list of the invoices your customers owe, sends a short series of reminders around each due date and stops as soon as an invoice is paid. It replaces the manual routine of checking due dates, writing follow-up emails and remembering who has already been reminded.
The problem it solves
Late invoices are rarely a dispute. More often the invoice was forgotten, went to the wrong person or is waiting for approval. The cost lands on you: time spent checking spreadsheets, uncomfortable follow-ups and invoices that slip for weeks because nobody sent the second reminder.
This affects most businesses that invoice after the work is done:
- Freelancers and consultants who invoice a handful of clients and do their own admin.
- Agencies and studios with many client projects and several people involved in billing.
- Small service businesses with regular customers and recurring monthly invoices.
How an invoice reminder workflow works
- Record the invoice — customer, amount, currency, due date and, optionally, your own payment link.
- Choose a schedule — for example 3 days before, on the due date and 3 days after.
- Approve the wording — one template per step, filled in with each invoice's details.
- Let it run — each reminder goes out at the planned time.
- Record the payment — reminders stop. A part payment updates the remaining balance.
How RemindCash handles invoice reminders
| Step | What RemindCash does |
|---|---|
| Adding invoices | Enter receivables manually, import them from CSV or Excel with a validated preview, or create them through the API once it is publicly available. |
| Schedule | Every company starts with 3 days before, on the due date and 3 days after. You can add, remove or move steps. |
| Timing | Reminders go out only inside your allowed hours in your time zone (09:00–18:00 by default, weekends off) and move to the next allowed time instead of being sent twice. |
| Wording | You preview and approve each template; customer name, amount and due date are filled in for every invoice. |
| Stopping | Marking an invoice paid, paused, disputed or cancelled stops future reminders. Customers who opt out are not contacted. |
| Sender | Emails show your business name and come from a verified RemindCash address until you verify your own domain. |
RemindCash never marks an invoice as paid on its own: a delivered reminder is not a payment.
Example: a studio with twelve open invoices
A design studio issues invoices at the end of each project with 14-day terms. It imports its open invoices from a CSV export, keeps the default schedule and adds a fourth reminder at 10 days overdue. Clients who would simply have forgotten see the before-due reminder; those who still have not paid get a polite note on the due date and a follow-up three days later. When a client pays, the studio records it and that client's remaining reminders are cancelled. The team only steps in personally for the invoices that are still open after the last reminder.
What RemindCash does not do
- It does not create invoices or invoice PDFs — keep your invoicing or accounting tool.
- It does not collect payments — your customer pays you directly, for example through your own payment link.
- It is not a debt collection agency and gives no legal advice. Formal recovery steps stay with you and your advisers.
Choosing invoice reminder software
Whichever tool you consider, check that it lets you edit the schedule, stops automatically on payment or dispute, sends from a verified sender, respects business hours and time zones, and reports delivery honestly — "accepted by the provider" is not the same as "delivered".
Questions and answers
Can invoice reminders be fully automated?
The routine part can: scheduling, sending and stopping on payment. Decisions such as offering a payment plan or taking formal steps should stay with a person.
Can I change the reminder message?
Yes. You write or edit each template, preview it and approve it before it is used. Nothing is sent without an approved template.
How much does it cost?
There is a 7-day trial without a credit card, followed by the Basic and Pro plans — see pricing. Email reminders are included within your plan's limits.
Start with the follow-up guide and adapt the reminder email templates for your own sequence.
