Accounting and bookkeeping firms usually bill many clients a fixed monthly fee, so the follow-up is the same every month: a reminder before the fee is due, one on the day and a polite nudge if it is late. RemindCash turns each client's fee into a monthly recurring receivable reminded on your firm's schedule, sends the messages in your firm's name and stops when you record the payment — while your books stay in the accounting software you already use.
How payments usually work
- A fixed monthly retainer per client, often due on the same day each month.
- Extra one-off fees for year-end work, payroll or filings.
- Clients who are also busy business owners: they forget rather than refuse.
- Several people in the firm who need to see who has paid.
A reminder schedule that fits
| Step | When | Tone |
|---|---|---|
| Heads-up | 3 days before | Friendly, with the amount |
| Due today | On the due date | Neutral |
| First follow-up | 3 days after | Friendly |
| Second follow-up | 10 days after | Direct, offer to talk |
Every step can be added, removed or moved, and reminders only go out within your send hours.
Setting it up in RemindCash
- Import your client list from CSV or Excel, or add clients one by one with their email, language and time zone.
- Create a monthly recurring receivable for each retainer; one-off fees are separate receivables.
- Approve your templates — wording in English or Turkish, using the client's name, amount, due date and your own payment link.
- Invite your team so partners and staff work in the same workspace with their own roles.
- Record payments as they arrive — including partial payments; reminders stop once the fee is paid in full.
Example reminder
Good practice for firms
- Agree payment terms and the reminder channel in your engagement letter.
- Pause reminders for a client while a fee is being discussed, and record disputes instead of sending more messages.
- Keep reminders about the fee only; separate service announcements from payment reminders.
What RemindCash does not do
It does not issue invoices, keep your books, connect to accounting software or collect payments. SMS and WhatsApp are not open yet; email reminders are included in the plans.
FAQ
Can each client have a different due day?
Yes. Each recurring receivable has its own due date; reminders follow your company's schedule relative to that date.
Can staff see which clients have paid?
Yes. Team members work in the same company workspace, and each receivable shows whether it is upcoming, overdue, partly paid or paid.
