Receivables tracking for small businesses

See what every customer owes, what is due soon and what is already paid — without a spreadsheet that's always one step behind.

By RemindCash Updated

Receivables tracking software keeps a single, current list of money your customers owe you — with each amount's due date and status — so you can see what is upcoming, what is overdue and what has been paid. In RemindCash the same list also drives your payment reminders.

What counts as a receivable?

A receivable is money owed to you for work or goods already delivered: an unpaid invoice, an instalment of a project fee or this month's retainer. Tracking receivables answers three questions at any time: who owes what, when is it due, and has it been paid?

Why spreadsheets break down

A spreadsheet works for a handful of invoices. It stops working when due dates pass unnoticed, part payments make the "amount owed" column unreliable, several people edit the same file, recurring customers need a new row every month and nobody is sure who already received a reminder.

How RemindCash tracks receivables

Every receivable has one clear status:

Status Meaning
Draft Recorded but not active yet — no reminders.
Active Waiting for payment; reminders follow your schedule.
Partially paid Part of the amount is recorded as paid; reminders use the remaining balance.
Paid Settled. No more reminders.
Paused On hold until you resume it.
Disputed The customer disputes it; no reminders are sent.
Cancelled Closed without payment.
  • Partial payments reduce the balance, and each one stays in the receivable's history; corrections are recorded rather than overwritten.
  • Currencies (EUR, GBP, TRY, USD) are kept separate. RemindCash never converts currencies or adds them into one misleading total.
  • Recurring receivables create a new occurrence each week or month, each with its own status, so a missed month is always visible.
  • Imports from CSV or Excel show a preview that flags invalid rows before anything is saved, and nothing is sent until you activate it.

Example: an agency with three currencies

An agency bills clients in TRY, EUR and USD. Its outstanding view shows separate totals per currency instead of a single converted number, and filters for overdue receivables show exactly which client to call this week. When a client pays half an invoice, the remaining balance updates and the next reminder mentions only what is still due.

What RemindCash is not

RemindCash is not an accounting ledger, a bank reconciliation tool or a debt collection service. "Marked paid" means you recorded the payment — it isn't verified against your bank account. Keep your accounting software for bookkeeping and tax; use RemindCash to make sure every receivable is followed up.

Questions and answers

What is receivables tracking software?

It is a tool that lists the amounts customers owe you with their due dates and statuses, so you can see what is outstanding and act on it. Some tools, like RemindCash, also send reminders from the same list.

Is this accounts receivable automation?

For a small business, the most time-consuming part of accounts receivable is following up. RemindCash automates that part — tracking due dates and sending reminders — while invoicing and bookkeeping stay in your existing tools.

Can my team work in the same workspace?

Yes. Invite team members to your company workspace; each company's data is kept separate from every other company's.
