Clubs, associations and member organisations collect the same dues from many members, usually monthly or once a year, and often rely on volunteers to follow up. RemindCash turns each member's dues into a recurring or one-off receivable, sends polite reminders in your organisation's name and gives the treasurer and helpers one shared view of who has paid.
How payments usually work
- Monthly dues, or annual dues with a fixed deadline.
- Members who pay part now and the rest later.
- A treasurer plus a few volunteers sharing the follow-up.
- Member lists kept in a spreadsheet.
A reminder schedule that fits
| Step | When | Tone |
|---|---|---|
| Heads-up | 7 days before | Friendly, explain the dues |
| Due today | On the due date | Neutral |
| Follow-up | 7 days after | Friendly |
| Last note | 21 days after | Polite and clear |
Setting it up in RemindCash
- Import your member list from CSV or Excel — or from Google Sheets via CSV.
- Create monthly recurring receivables for monthly dues, or one receivable per member for annual dues.
- Invite the treasurer and volunteers to the same workspace with appropriate roles.
- Approve a template with the member's name, amount, due date and your payment details.
- Record payments and partial payments, and pause reminders for members with an agreed arrangement.
Example reminder
Good practice
- Tell members when they join how dues reminders are sent, and inform them how their contact details are used.
- Keep reminders about dues only; event announcements and fundraising are separate messages with their own consent rules — see payment reminder SMS rules.
- Never share a member's arrears with other members.
What RemindCash does not do
It does not manage membership records beyond contact details, run events or collect payments. SMS and WhatsApp are not open yet.
