Google Sheets is a free, shareable place to list who owes what — and, unlike most spreadsheets, it can send reminder emails if you write an Apps Script and schedule it with a time-driven trigger. That script is yours to build and maintain, sends from your own Gmail account, and is limited to 100 email recipients a day on a free Google account (1,500 on Google Workspace). RemindCash sends the reminders for you on an editable schedule, stops when a receivable is paid and handles recurring receivables — and you can import your sheet as CSV or Excel.
What each tool is for
Google Sheets is Google's free online spreadsheet. A team can edit the same receivables list at once, and Apps Script — Google's built-in scripting — can read the sheet and send email through Gmail on a schedule.
RemindCash is software built for receivables tracking and automated payment reminders. You record what each customer owes once (or import it), and RemindCash sends reminders in your business's name before, on and after the due date, stopping when you mark it paid.

Pricing
| Product | Plan | Price |
|---|---|---|
| RemindCash | Basic | $9 / month |
| RemindCash | Pro | $19 / month |
| Google Sheets | Google account | Free; scripts can email up to 100 recipients a day |

- RemindCash: Illustrative launch prices on remindcash.com/pricing; checkout is not open yet. SMS and WhatsApp use separate prepaid credits.
- Google Sheets: Daily limits from Google's Apps Script quotas page; time-driven triggers can run 90 minutes a day on free accounts. Workspace prices depend on country and plan.
The sheet is free; the trade-off is the time to build, test and look after the script, and the daily sending limit on free accounts.
A Google Sheets payment tracker
Use one tab named Receivables with these columns, starting in row 2:
| Column | Header | Content / formula |
|---|---|---|
| A | Customer | Name |
| B | Where the reminder goes | |
| C | Invoice no. | 1042 |
| D | Amount | 245 |
| E | Due date | A real date, not text |
| F | Paid | Amount paid so far |
| G | Balance | =D2-F2 |
| H | Days | =E2-TODAY() (negative = overdue) |
| I | Status | =IF(G2<=0,"Paid",IF(H2<0,"Overdue","Open")) |
| J | Last reminder | Filled in by the script |
Sending reminders with Apps Script
In the sheet, open Extensions → Apps Script, paste the function below, run it once to authorise it, then add a time-driven trigger that runs it every day.
function sendPaymentReminders() {
const sheet =
SpreadsheetApp.getActiveSpreadsheet().getSheetByName('Receivables');
const rows = sheet.getDataRange().getValues().slice(1);
const today = new Date();
today.setHours(0, 0, 0, 0);
rows.forEach((row, i) => {
const [customer, email, invoice, amount, due, paid] = row;
if (!email || !(due instanceof Date) || amount - paid <= 0) return;
const days = Math.round((due - today) / 86400000);
if (![3, 0, -3].includes(days)) return; // 3 days before, due date, 3 days after
MailApp.sendEmail(
email,
`Invoice ${invoice}: payment reminder`,
`Hello ${customer},\n\nA friendly reminder that invoice ${invoice} ` +
`for ${amount - paid} is due on ${due.toDateString()}.\n\nThank you!`,
);
sheet.getRange(i + 2, 10).setValue(new Date()); // column J
});
}Things to watch: a failing script only reports the error by email; running the trigger setup twice creates duplicate triggers; and the daily recipient quota applies to everything the script sends.
Where Google Sheets is stronger
- Free and shared. Everyone with access sees the same live list.
- Fully customisable. Any column, formula or report — and, with Apps Script, any logic you can write.
- Part of Google Workspace. Gmail, Drive and add-ons are one click away.
Where RemindCash is stronger
- No script to maintain. Reminders go out on an editable schedule, within your send hours and in your customer's time zone.
- Stops by itself for receivables marked paid, paused or disputed; partial payments reduce the balance.
- Recurring receivables are created every week or month automatically.
- Approved templates and a log of every send, in English or Turkish per customer.
- Not limited to 100 emails a day, and messages go out in your business's name rather than from your personal Gmail.
Limitations of both
- The Sheets approach needs someone comfortable with scripts; dates stored as text, blank cells and quota limits are common failure points.
- RemindCash is paid software (7-day trial without a card), does not create invoices or take payments, and its SMS and WhatsApp channels are not open yet.
Which is better for freelancers?
A freelancer who likes building their own tools and sends a few reminders a week can do well with Google Sheets and Apps Script. If you would rather not write or debug code, or you have recurring clients, RemindCash gives you the same result without the upkeep.
Which is better for small businesses?
Shared sheets work until several people edit them and nobody is sure who reminded whom. RemindCash gives the team one workspace with roles and a send history; you can still export or report in Sheets.
Choose by scenario
| Your situation | Better fit |
|---|---|
| Must be free, a few invoices a month | Google Sheets |
| You enjoy writing scripts | Google Sheets + Apps Script |
| More than 100 reminder emails a day | RemindCash |
| Recurring weekly or monthly payments | RemindCash |
| No time to maintain a script | RemindCash |
| Keep the sheet, automate the reminders | Both: export to CSV and import into RemindCash |
FAQ
Can Google Sheets send payment reminders automatically?
Yes, with Apps Script and a time-driven trigger, as in the example above. You write and maintain the script, and free accounts can email up to 100 recipients a day.
Can I move my Google Sheets list into RemindCash?
Yes. Download the sheet as CSV or Excel (File → Download) and import it; RemindCash validates every row and shows errors before saving.
Is Google Sheets free?
Yes, with a Google account. Google Workspace business plans are paid and raise the script email limit to 1,500 recipients a day.
