Private practices — therapists, physiotherapists, psychologists, dentists and similar — often bill session packages or treatment instalments, and their reminders must stay strictly about money: the amount and the date, nothing about the visit. RemindCash records each instalment or invoice as a receivable (regular monthly fees as a recurring receivable), sends neutral reminders in your practice's name and stops when the payment is recorded.
How payments usually work
- Session packages paid up front or in instalments.
- Treatment plans split into monthly payments.
- Invoices for sessions not paid at the appointment.
A reminder schedule that fits
| Step | When | Tone |
|---|---|---|
| Heads-up | 2 days before | Neutral, discreet |
| Due today | On the due date | Neutral |
| Follow-up | 3 days after | Courteous |
| Last note | 10 days after | Courteous, clear |
Setting it up in RemindCash
- Add the payer with email, language and time zone — only the contact details needed for payment.
- Create a receivable per instalment or a monthly recurring receivable for regular fees.
- Approve a neutral template that contains only the name, amount, due date and payment link.
- Pause reminders when a payment arrangement is agreed.
- Record payments and partial payments as they arrive.
Example reminder
Good practice
- Never include health information — treatment, diagnosis, appointment type or the name of a therapy — in a reminder, its subject or the sender name if that reveals it. Health data is a special category of personal data under the GDPR and KVKK.
- Store only the contact details needed to remind the payer.
- Send reminders only to the person who pays, and agree on the channel when care starts.
What RemindCash does not do
It does not hold patient records, appointments or clinical notes, and must not be used to store health information. It does not issue invoices or collect payments. SMS and WhatsApp are not open yet.
FAQ
Can I write the appointment type in the reminder?
You can edit your templates, but we strongly advise against it: keep reminders to the amount and due date so they reveal nothing about care.
Can instalments be reminded automatically?
Yes — each instalment as a receivable, or equal monthly payments as a recurring receivable.
